Commercial Team Assistant, Part-Time

Position Summary

      THIS POSITION CAN BE ONSITE/HYBRID TO PEACHTREE CITY
      Adhering to SMC³’s mission and cultural values, SMC³ is seeking an energetic and professional individual to help assist with commercial team projects as needed in the areas of education, events, marketing, sales, analytics or membership initiatives. The duties listed below are examples of relevant work expectations but assigned tasks will depend on the needs of the team at that time.

Essential Functions

      Registration Duties:
    • Administration and invoice processing for conference and trade show registrations
    Conference Production:
  • Conference registration desk labor
  • Assist Banquet Event Orders and conduct cross-comparison of BEOs against the agreement
  • Room block assist with management and audits
  • Onsite meeting space management
  • Onsite Speaker Coordination
    • Onsite coordination with speakers for arrival and mc’ing
    • Assist Event Relations Coordinator with set-up
    • Assist Executive Assistant with board room set-up
    Best Practices Production:
  • Assist in setting up for March events, inclusive of other needs identified by Senior Manager, Conference & Events
  • Online Coursework:
  • Project management 203-205 to establish 2-wk sprints, monitor progress, and ensure delivery by Spring 2025
  • CLTL exam – manage review and update process for Spring 2025 delivery
  • Trade Show Logistics:
  • Assist with coordination outbound/inbound shipments and support materials
  • Assist with administration of event registration and hotel space
  • Create Outlook invites tied to the 40 trade shows we communicate with
  • Video Editing:
  • Assist Industry Program Coordinator with post-production (e.g., hybrid webinars, conference sessions, etc.).
  • Assist Industry Program Coordinator with Podcast Production and Audio Editing
  • Assist Industry Program Coordinator with a producing and editing a limited number of podcasts to support VP of Sustainability & Membership & Chief Finance Officer
  • Other duties as assigned.

Qualifications

    • Bachelor’s Degree preferred
    • Experience in event management a plus.
    • Experience in logistics/supply chain a plus.
    • Demonstrated ability to manage individual work and project management know-how in a team environment is essential.
    • Ability to write and compose business communications.
    • Excellent oral and written communication skills required.
    • Proficiency in Microsoft products with emphasis on Word, PowerPoint, and Excel.
    • Proficiency in SurveyMonkey or equivalent surveying tool a plus.
    • Must be able to lift up to 50 pounds as part of conference set-up and breakdown.
    • Works well with multiple departments.
